1. General Provisions
1.1. European Summer School (hereinafter referred to as “ESS”) is an international educational programme organised by Czech-us s.r.o. (hereinafter referred to as the “Organiser”).
1.2. These Terms & Conditions apply to all participants registering for ESS courses and any additional services booked through ESS, unless otherwise expressly agreed in writing.
1.3. By accepting an offer of enrolment, the participant agrees to these Terms & Conditions, which form part of the agreement between the participant and the Organiser.
1.4. ESS provides educational courses and may also arrange optional accommodation, social activities and other services. The services included in each booking are specified in the relevant course description, booking confirmation or invoice.
1.5. Course descriptions, dates, prices and other relevant information are published on the official ESS website.
2. Registration and Admission
2.1. Applications are submitted through the official ESS website or another application method approved by the Organiser.
2.2. Submission of an application does not automatically guarantee admission. All applications are subject to confirmation by ESS.
2.3. ESS reserves the right to assess applications based on the applicant’s academic or professional background, language proficiency, course requirements and available places.
2.4. Successful applicants will receive an enrolment confirmation and payment instructions by email. Enrolment becomes binding once the applicant has accepted the offer and these Terms & Conditions.
2.5. Participants are responsible for providing accurate and complete information during registration and informing ESS of any relevant changes.
2.6. If a course reaches its maximum capacity, ESS may close registration or offer the applicant a place on a waiting list.
3. Course Fees and Payment
3.1. Course fees are published on the ESS website or communicated individually by the Organiser.
3.2. The course fee covers participation in the selected educational programme and all activities or services expressly listed as included.
3.3. Accommodation is optional and is charged separately unless expressly included in a specific offer. Participants may book accommodation together with their course registration.
3.4. Where accommodation or additional services are booked through ESS, their prices may be included in the same invoice as the course fee.
3.5. Full payment must be completed by the deadline stated on the invoice or in the enrolment confirmation. Any alternative payment arrangements must be confirmed in writing by ESS.
3.6. Participants are responsible for any bank transfer charges or currency conversion fees charged by their payment provider, unless otherwise required by law.
3.7. If payment is not received by the specified deadline, ESS may send a payment reminder and set an additional reasonable payment deadline. If payment remains outstanding, ESS may cancel the reservation in accordance with applicable law.
3.8. Promotional discounts, alumni discounts, referral rewards and other special offers are subject to their stated conditions. Discounts cannot be combined unless expressly approved by ESS.
4. Cancellation by the Participant
4.1. Participants may cancel their registration by sending a written cancellation request to info@europeansummerschool.com.
4.2. The cancellation date is the date on which ESS receives the written cancellation request.
4.3. Unless mandatory legal provisions or another expressly agreed cancellation arrangement provide otherwise, the following cancellation fees apply:
| Cancellation period | Cancellation fee |
|---|---|
| More than 3 calendar months before the course starts | EUR 200 |
| 3 calendar months or less, but more than 2 calendar months before the course starts | EUR 300 |
| 2 calendar months or less, but at least 1 calendar month before the course starts | EUR 450 |
| Less than 1 calendar month before the course starts | 100% of the total booking price |
4.4. In addition to the applicable fixed cancellation fee, ESS may charge reasonable, documented and non-recoverable costs directly associated with the cancellation, including applicable accommodation cancellation charges and costs of other services already arranged on the participant’s behalf, to the extent permitted by applicable law.
4.5. The total cancellation charges shall not exceed the amounts lawfully recoverable under the agreement.
4.6. Any amount paid in excess of the applicable cancellation charges will be refunded to the participant, normally within 30 calendar days after confirmation of the cancellation, unless a shorter statutory deadline applies.
4.7. No refund is normally provided for late arrival, missed classes, voluntary early departure or unused services once the programme has started, except where required by law or expressly agreed by ESS.
4.8. Participants are strongly encouraged to obtain cancellation insurance covering unexpected circumstances that may prevent their attendance.
4.9. Nothing in this section limits any mandatory statutory right of withdrawal or other non-excludable consumer rights applicable to the booking.
5. Visa Requirements and Visa Denial
5.1. Participants are responsible for determining whether they require a visa or other entry authorisation to enter the Czech Republic and for submitting their applications in sufficient time.
5.2. ESS may provide enrolment confirmation letters and other standard supporting documents reasonably required for visa applications once the applicable enrolment and payment requirements have been fulfilled.
5.3. ESS cannot guarantee that a visa will be issued or that an application will be processed within a particular period.
5.4. If a participant requires a visa to attend ESS and their visa application is officially refused by the competent authority, the participant may apply for cancellation under the special visa denial policy.
5.5. To qualify for the special visa denial policy, the participant must:
-
Inform ESS in writing of the visa refusal without undue delay and before the course begins.
-
Provide official written confirmation of the visa refusal issued by the competent authority.
-
Provide any additional information reasonably necessary to verify the refusal and its connection with participation in ESS.
5.6. A special EUR 250 cancellation fee applies where the requirements above have been met. ESS will refund the amount paid for the cancelled booking, less EUR 250, normally within one month of receiving the required documentation, without prejudice to any shorter mandatory refund deadline.
5.7. A pending visa application, delayed visa decision, failure to apply for a visa or voluntary withdrawal of an application does not automatically qualify as a visa denial. Such circumstances are subject to the general cancellation policy unless ESS agrees otherwise in writing.
5.8. Participants are encouraged to apply for their visas as early as possible. ESS is not responsible for visa processing delays or decisions made by embassies, consulates or other authorities, except where liability arises from ESS’s own conduct or applicable law.
5.9. Nothing in this section limits the participant’s rights where the cancellation or visa refusal is attributable to a breach of the Organiser’s obligations.
6. Changes or Cancellation by ESS
6.1. ESS aims to deliver all courses as advertised. However, reasonable changes to lecturers, classrooms, schedules, teaching methods or individual activities may occasionally be necessary.
6.2. ESS will inform participants of significant changes as soon as reasonably possible and will endeavour to provide suitable alternatives where appropriate.
6.3. ESS reserves the right to cancel a course if the minimum number of six enrolled participants has not been reached 20 calendar days before its scheduled starting date.
6.4. ESS may also cancel or modify a course due to circumstances beyond its reasonable control, including serious illness or unavailability of essential teaching staff, government restrictions, major disruptions or other exceptional circumstances.
6.5. If ESS cancels a course before it begins, the participant will be offered either:
-
A place in another available ESS course, subject to eligibility and the participant’s agreement; or
-
A full refund of the fees paid to ESS for the cancelled course and any related services that cannot be provided.
6.6. If ESS proposes a substantial change to the essential characteristics of a course or service, participants will be informed of their available options and any rights arising under applicable law.
6.7. ESS is not automatically responsible for expenses independently incurred by participants, such as international flights, visa fees or independently booked accommodation. This does not exclude or restrict any liability arising under applicable law.
7. Accommodation
7.1. Accommodation is optional and may be booked through ESS as part of the registration process or by separate agreement.
7.2. Where accommodation is booked through ESS, the Organiser will arrange the selected accommodation with its accommodation partners, subject to availability and the confirmed booking conditions.
7.3. Accommodation charges may be included in the same invoice as the course fee.
7.4. ESS will provide participants with the relevant accommodation information, including location, accommodation dates, check-in and check-out arrangements, and applicable house rules, within a reasonable time before arrival.
7.5. Participants must respect accommodation rules, other residents and the property. Participants are responsible for damage they cause, subject to applicable law.
7.6. Accommodation changes, extensions or special requests are subject to availability and may involve additional charges, which will be communicated before confirmation.
7.7. Cancellation of accommodation booked through ESS is subject to the applicable booking conditions and the cancellation provisions of these Terms & Conditions, including any reasonable and documented non-recoverable accommodation costs where legally permissible.
7.8. ESS is responsible for fulfilling its contractual obligations relating to accommodation arranged through ESS, subject to the applicable agreement and law.
8. Attendance and Academic Requirements
8.1. Participants are expected to attend scheduled classes, arrive on time and actively participate in the educational programme.
8.2. Individual courses may include attendance requirements, assignments, group projects, examinations or other academic obligations.
8.3. Participants will be informed of the relevant academic requirements through the course description, syllabus or information provided by ESS and its lecturers.
8.4. Certificates of completion are issued to participants who fulfil the applicable course requirements.
8.5. Where ECTS credits or other academic credits are available, their award is subject to the specified academic requirements and the applicable institutional arrangements.
8.6. Participants are responsible for verifying whether their home university or institution will recognise the credits obtained.
8.7. ESS reserves the right to refuse the award of a certificate or academic credits where the published academic requirements have not been fulfilled.
9. Student Conduct
9.1. ESS is committed to providing a welcoming, inclusive, respectful and safe environment for all participants.
9.2. Participants are expected to behave respectfully towards fellow students, lecturers, ESS staff, accommodation personnel and the local community.
9.3. Harassment, discrimination, threats, violence, deliberate damage to property, serious disruption of teaching or other serious misconduct will not be tolerated.
9.4. Participants must comply with applicable Czech laws, reasonable safety instructions and the rules of all facilities used during the programme.
9.5. In cases of serious misconduct, ESS may take proportionate disciplinary measures, including suspension or termination of participation. Where practicable, the participant will be informed of the alleged misconduct and given an opportunity to respond.
9.6. Any refund following termination due to misconduct will be determined in accordance with the agreement and applicable law.
10. Insurance, Health and Personal Responsibility
10.1. Participants are responsible for ensuring that they have appropriate health insurance valid in the Czech Republic for the duration of their stay.
10.2. ESS strongly recommends travel, accident, personal liability and cancellation insurance.
10.3. Participants must comply with applicable passport, visa, immigration and health requirements.
10.4. Participants are responsible for taking reasonable care of their personal belongings. ESS is not liable for their loss, theft or damage unless liability arises under applicable law.
10.5. Participants who require accessibility arrangements or other reasonable adjustments are encouraged to contact ESS before arrival so that their needs can be considered in advance.
11. Complaints and Liability
11.1. If a participant experiences a problem with a course, accommodation or another service arranged through ESS, they should inform the ESS team as soon as reasonably possible so that the matter can be investigated and, where appropriate, resolved.
11.2. Formal complaints may be submitted in writing to info@europeansummerschool.com.
11.3. ESS will handle complaints in accordance with applicable Czech consumer protection legislation and will inform participants of the outcome within the legally required period.
11.4. ESS is responsible for providing the agreed services with appropriate professional care and in accordance with the contract.
11.5. ESS is not responsible for services independently purchased by participants from third parties, except where legal responsibility arises from the Organiser’s own actions or obligations.
11.6. Nothing in these Terms & Conditions excludes or limits liability or consumer rights that cannot lawfully be excluded or limited.
12. Personal Data, Photography and Video
12.1. Personal data collected during registration and participation in ESS will be processed in accordance with applicable data protection legislation, including the General Data Protection Regulation (GDPR).
12.2. Detailed information on personal data processing, including purposes, legal bases, retention periods and participants’ rights, is provided in the ESS Privacy Policy.
12.3. Photographs and videos may be taken during ESS classes and activities. The use of identifiable photographs or recordings for promotional purposes will be based on an appropriate legal basis, including consent where required.
12.4. Consent to optional marketing or promotional use of photographs and videos is voluntary and is not a condition of enrolment.
13. Final Provisions
13.1. These Terms & Conditions and the agreement between the participant and ESS are governed by Czech law, without prejudice to mandatory consumer protection provisions that may apply to the participant.
13.2. ESS and the participant will seek to resolve any disagreements amicably.
13.3. Where applicable, consumers may refer eligible disputes to the Czech Trade Inspection Authority (www.coi.cz) for alternative dispute resolution.
13.4. Any disputes that cannot be resolved amicably will be handled by the competent courts in accordance with applicable law.
13.5. If any provision of these Terms & Conditions is found invalid or unenforceable, the remaining provisions will continue to apply to the extent permitted by law.
13.6. Amendments to these Terms & Conditions will not affect existing agreements unless permitted by law or accepted by the participant where required.
13.7. These Terms & Conditions apply to European Summer School enrolments for the 2027 season and become effective on the date specified below.
